As the Office Manager, you’ll be the driving force behind our administrative operations, helping our teams stay organized, compliant, and aligned. You’ll play a key role in both internal operations and external client relations, bringing clarity and structure to day-to-day processes. The ideal candidate is eager to take ownership of their work with a “gets it done” attitude. Responsibilities: • Lead and manage daily administrative functions and office operations. • Oversee administrative staff and support all departments for operational efficiency. • Develop and implement policies and procedures aligned with organizational goals. • Serve as Contract Administrator, ensuring compliance and client satisfaction. • Provide administrative support for project setup and completion. • Facilitate internal collaboration and communication for seamless project management. • Manage CCIP/OCIP insurance reporting and compliance. • Manage accurate records and ensure regulatory compliance. • Navigate compliance and credentialing software (Vendormate, Compliance Depot, RMIS, etc). • Support hiring and onboarding processes, including new hire orientation. • Oversee document organization and updates for efficient workflows. • Serve as primary contact for employee administrative support and 3rd party IT liaison. • Manage multi-line phone systems for effective communication. • Employee Benefits Management. • Fleet Management. • Oversee employee clearance (Livescan, DBIDs, etc). Qualifications: Required: • Proven leader with experience driving results. • Track record of operational excellence in office administration/management. • Exceptional attention to detail, organizational, and time management skills. • Proactive self-starter with initiative and creativity. • Excellent communication and interpersonal skills. • Strong problem-solving and analytical abilities. • Proficient with Microsoft Office. • Able to work daily in our El Cajon office. • Technology Savvy. • 3-5 years of office administration/management. • Bachelor’s in business administration, communication, or a related field. • Experience with commercial construction subcontractors or general contractors. • Understanding construction contract administration, compliance, insurance, and audits. • Knowledge of prevailing wage and labor compliance. • General familiarity with QuickBooks. • Recruiting experience or HR experience. • Vehicle fleet management experience. • Bilingual (English/Spanish).
