Job Description Job Summary The Special Events Coordinator is responsible for planning and executing special events that further the J's mission. The J's mission is to develop and strengthen Jewish identity, foster Jewish values and enrich the Jewish community and the greater community.
The Coordinator will lead planning and execution of the Children's Scholarship Ball, the J's marquee annual fundraiser, which raises critical funds for early childhood education, along with other events.
This is a part-time role for approximately 20 hours per week. Hours per week vary depending on program needs.

DUTIES AND RESPONSIBILITIES Duties and Responsibilites - Plan and oversee execution of the Children's Scholarship Ball, as well as other special events which may include the J's Annual Meeting, Golf Tournament, and/or Patron of the Arts events.
- Building from previous years' plans, create timelines and project plans needed to identify key deadlines; manage self and others towards meeting those deadlines.
- Organize, work with, and manage lay (board) leaders and other volunteers to design, develop, and execute event. Oversee process to identify event and/or committee chairs, honorees, honorary chairs, and other key roles; manage and work with lay leaders throughout the year to jointly produce successful event.
- Develop and drive execution of all aspects of fundraising related to the Children's Scholarship Ball, including but not limited to ticket sales, silent auction, raffle, and/or "paddles up" opportunity at event, with support from staff and lay leaders.
- Organize and execute all logistics for special events, including vendor selection, renting supplies and dcor, and overseeing vendors.
- Manage event budgets.
II. AGENCY - Participate in agency-wide meetings and in-service training programs.
- Work to promote programs in other areas and collaborate across the agency with other staff and volunteers to further the J's mission.
Qualifications - 2-5 years of work experience in an event planning role.
- Experience planning successful special events that raised funds for a non-profit organization.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational skills.
- Excellent time management skills, ability to juggle multiple tasks and deadlines.
- Excellent communication skills, both written and oral. Able to interact professionally with all levels of internal and external personnel.Comfort interacting with respected, high-profile community members in a professional manner.
- Positive energy and attitude; ability to work independently and take responsibility for a process from beginning to end.
- Experience working in a team and collaborating with others. Experience working with committees in a leadership role is a plus.
- Interest and a passion for the Jewish community.
- Willingness to be flexible and available to work evenings and weekends as required for events.
- Desire to go above and beyond for the success of the program with a willingness to perform job tasks that are not part of the immediate job responsibilities.
- Ability to lift and carry packages, equipment, and materials up to 20 pounds.
